General management tools help property owners (also referred to as “hotel” owners) gain comprehensive control, including delegating and managing administrator accounts to ensure tasks are properly assigned, updating hotel information, and monitoring business statistics reports, supporting data-driven decision-making, thereby optimizing hotel operations and performance.

 

How to track business statistics

At the hotel owner management interface, select Dashboard located in the left column of the screen.

To track your business statistics for the desired period, select the period in the upper right corner of the screen.

The dashboard displays information including:

  • TOTAL REVENUE: Total revenue of the hotel during the selected period.
  • TOTAL BOOKINGS: Total number of bookings during the selected period.
  • USAGE RATE (Occupancy Rate): The usage rate is calculated by the number of paid rooms/number of available rooms
  • AVERAGE DAILY RATE (Average Room Rate): Average room rate sold per day = Total room revenue/Number of rooms sold
  • AVERAGE LENGTH OF STAY: Average number of nights a guest stays at the hotel = Total nights sold/Total bookings
  • REVENUE PER AVAILABLE ROOM: Total revenue generated per available room = Total room revenue/Total available rooms
  • CANCELLATION RATE: Rate of bookings canceled by guests = (Number of canceled bookings/Total number of bookings) x 100
  • Revenue overview chart.
  • The occupancy rate chart shows the correlation between the current period's occupancy rate and the previous period’s.
  • The average length of stay chart shows the correlation between the current period's average length of stay and the previous period's.
  • Analysis chart for room type with a total number of bookings.
  • Average daily room rate trend chart.
  • Revenue per room type trend chart.
How to manage administrators

At the hotel owner management interface, select User management located in the left column of the screen.

In the search box, enter a name or email to find the administrator.

Steps to use the Filter to filter admins:

  1. Select role:
    • Hotel owner
    • Hotel manager
    • Advertiser
    • Receptionist
  2. Select status:
    • Active
    • Pending (waiting for the user to accept as administrator)
  3. Click Apply to filter.
    Click Reset to reset the filter options.

Steps to add an admin:

  1. Click Add user in the upper right corner of the screen
  2. Select the user account (your friend) as an admin
  3. Select a role to grant management rights
    • Hotel manager
    • Advertiser
    • Receptionist
  4. Click Confirm to complete adding employees.
    Once the employee accepts the invitation, the status will change to Active.

Steps to edit employee role:

  1. At the account you want to edit, click on 3cham - Copy.png then select Edit role
  2. Choose the role you want to change to then click Confirm

Steps to remove an admin:

  1. At the account you want to remove, click on 3cham - Copy.png then select Remove user
  2. As a confirmation message appears, click Confirm
How to edit Contract information

In the Settings section located in the left column of the screen, select Contract. Business information is shown here. Click View contract to review the contract, terms, and conditions binding between the business and Soctrip.

Note: When editing information in the Contract section, the Soctrip moderation system will conduct a re-verification process. Only verified hotels can do business on Soctrip.

STEPS TO EDIT THE CONTRACT:

  1. Click Edit at the bottom of the screen
  2. Update information:
    • Full name: matches the representative information in the hotel's business documents
    • Select role: Business/Personal
    • Email: Hotel representative’s email
    • Phone number: Hotel representative’s phone number
    • Re-upload/Add documents
    • Tick to select I am the authorized signatory for the contract
  3. Click Save.

After successfully saving the edit, Soctrip will proceed to re-verify the Contract information. If verified successfully, the hotel can continue its business on Soctrip. In case of verification rejection, the hotel owner please review the reason for rejection and resubmit the request.

b.pngBusiness registration certificate (the original or a valid notarized copy, or a copy with an official seal).

b.pngOr, Documents that are legally and informationally qualified to replace the Business Registration Certificate. E.g., Branch registration certificate, Business Location Registration Certificate, Certificate of Establishment, etc.

b.pngPersonal identification documents of the legal representative in the business documents (the original or a valid notarized copy, or a copy with an official seal).

b.pngBusiness Registration Certificate of Household Business, Proof of business location ownership.


Documentation requirements

  • Official documents issued and recognized by the host country.
  • Valid and original documents or notarized copies with a valid term or official seal.
  • Documents must contain complete personal or business information.
  • Any photo on the document must clearly show the entire face.
  • Photos of documents must be taken in a well-lit area, sharp, colorful, and not obscured, and the text in the photos can be read clearly.
  • Scans must be from original documents, photos taken directly by phone, not taken through another device screen.
  • Images must show all sides and pages of the documents.

NOTES:

  • Hotel owners are required to update documentation and resubmit verification requests if the previously verified document is no longer accurate.
  • In case the Owner changes the information on the registration documents at the State Agency in the host country, the Owner must update the changed information and Soctrip will conduct verification again.
  • In case Soctrip requests additional verification documents to ensure the hotel's operation on the Soctrip system, the Owner must update the information as requested and resend the verification request.
