Set Up Travel Agency Management

The Travel agency management setup section provides comprehensive control for travel agencies, including administrator account management and permission settings to ensure task delegation is properly assigned. It allows agencies to update information, track statistical reports on business performance, and make data-driven decisions to optimize operations and efficiency.

 

HOW TO MANAGE ADMINS?

At the manager interface for travel agencies, select User Management in the left column of the screen.

In the search box, enter a name, email, or phone number to find an admin.

STEPS TO USE FILTERS TO FILTER ADMINS:

  1. Select staff role
    • Admin
    • Advertiser
    • Calendar
    • Collaborator
    • Owner
    • Reserver
  2. Select status:
    • Active
    • Inactive
    • Pending (waiting for user to accept as admin)
    • Blocked
    • Limited
  3. Click Apply to filter.
    • Click Reset to customize the filter again.

STEPS TO ADD AN ADMIN

  1. Click Add user in the upper right corner of the User Management interface
  2. Select a user account to assign as an admin
  3. Select the role to grant management permissions to the staff
    • Admin
    • Advertiser
    • Calendar
    • Collaborator
    • Reserver
  4. Click Confirm to complete adding the staff.
    After the staff accepts the invite, the status will change to Active.

STEPS TO EDIT STAFF ROLE

  1. At the account you want to edit, click on themceclip0.png button and select Edit role
  2. Choose the role you want to change to, then click Save

STEPS TO REMOVE AN ADMIN

  1. At the account you want to remove, click on themceclip0.pngbutton and select Remove user
  2. When a confirmation message appears, click Remove
HOW TO TRACK BUSINESS STATISTICS?

At the manager interface for travel agencies, select Dashboard in the left column of the screen.

To track your business statistics for the desired time period, select the time period in the upper right corner of the screen.

The statistics table displays information including:

  • TOTAL REVENUE: The total revenue from all tours during the selected period of time.
  • NUMBER OF TOURS: The total number of tours operated during the selected period of time.
  • TOTAL BOOKINGS: The total number of bookings made during the selected period of time.
  • SUCCESS BOOKING RATE: The percentage of available tours that have been booked. Success booking rate = Number of booked tours / Total number of available tours.
  • AVERAGE TOUR DURATION: The average amount of time a person spends on each tour. 
    Average tour duration = Total duration of all tours / Number of tours.
  • AVERAGE DAILY SPEND ON TOUR: The average daily spend per person for each tour. 
    Average daily spend = Total tour revenue / Total tour duration (in days).
  • REVENUE PER TOUR: The average revenue earned from each booking per tour. 
    Revenue per tour = Total tour revenue / Number of bookings.
  • CANCELLATION RATE: The percentage of bookings that were cancelled. Cancellation rate = Number of cancellations / Total number of bookings.
  • The revenue overview chart shows the correlation between the Total revenue and the Revenue per tour
  • The occupancy rate chart shows the correlation between the average success rate of bookings and the current period's booking success rate
  • Statistics chart of tour status, type and format
HOW TO EDIT BRANCH INFORMATION?

At the manager interface for travel agencies, select Branch Information in the left column of the screen.

  1. Click Edit in the upper right corner of the Branch Information interface to edit information.
  2. Update the information:
    • Edit business name
    • Enter business description
    • Select the currency you want to use (Note: Changes can only be made when there are no active Tours and ongoing Promotions. Please update the prices for Tours and Promotions after changing the currency.)
    • Choose time zone
    • Upload business photo
  3. Click Save to complete editing.
HOW TO EDIT PROFILE?

At the manager interface for travel agencies, select the Settings section in the left column of the screen and then select Profile.

  1. Click Edit to edit the information
  2. Update the information:
    • Edit business name
    • Edit email
    • Edit phone number
    • Edit business location
  3. Click Save to complete editing
HOW TO EDIT CONTRACT INFORMATION?

At the manager interface for travel agencies, select the Settings section in the left column of the screen and then select Contract.

Here displays business information, the terms and conditions binding between the business and Soctrip. Only verified travel agencies can do business on Soctrip.

The status of the travel agency on Soctrip after being approved will change from Pending approval to Verified.

STEPS TO EDIT THE CONTRACT:

  1. Click Edit in the upper right corner of the screen to edit information
  2. Update the information:
    • Full name of the contract signatory: must match the information of the representative for the travel agency in the business documents
    • Type: Business or Personal
    • Email: the travel agency's email in the business documents
    • Phone Number: the travel agency's phone number in the business documents
    • Re-upload/Add documents
  3. Click Submit
  4. When a confirmation message appears, click Confirm to complete sending the verification request.
    Click Cancel to cancel the information you just set up.

    Once the request is submitted, Soctrip will proceed with the contract information verification process. If the verification is successful, the travel agency can continue its business operations on Soctrip. If the verification is rejected, the travel agency is advised to check the reason for the rejection and resubmit the request.

DOCUMENT VERIFICATION REGULATIONS:

ACCEPTED DOCUMENT TYPES:

  1. Business license (original or notarized copy with validity or official seal). Alternatively, any document that meets the legal requirements and contains sufficient information to replace the Business Registration Certificate. For example:
    • Certificate of branch registration
    • Certificate of business location registration
    • Certificate of establishment
  2. Travel agency license:
    • Domestic travel business license.
    • International travel business license, including:

      + Travel business for tourists coming into Vietnam (inbound);
      + Travel business for tourists going abroad (outbound);
      + Travel business for tourists coming into Vietnam and going abroad.

    Depending on the scope of the business license granted to the tour supplier, they must upload all the required documents accordingly.

DOCUMENT REQUIREMENTS:

  • Official documents issued and recognized by the Host country.
  • Documents must be valid, either original or notarized copy with active certification.
  • Documents should include complete personal or business information.
  • If the document includes a photo, the face must be clearly visible.
  • Photos of the document should be taken in well-lit areas, sharp, in color, with no parts obscured, and the text should be clearly legible.
  • Scans should be from the original document; photos taken directly with a phone camera, not through another device's screen.
  • Notarized copies must be valid/ include the official seal.
  • Images must show all sides and pages of the document.

NOTES:

  • The owner of the travel agency must update the documents and resubmit the verification request if the previously verified documents are no longer accurate.
  • If the owner changes information on the registration document with the local authorities, they must update the information accordingly, and Soctrip will re-verify it.
  • If Soctrip requests additional documents to ensure the continued operation of the travel agency on the platform, the agency must update the required information and resubmit the verification request.
HOW TO EDIT CONTACT?

At the manager interface for travel agencies, select the Settings section in the left column of the screen and then select Contact.

STEPS TO EDIT CONTACT:

  1. Click Edit in the upper right corner of the screen to edit information.
  2. Update the information:
    • Edit business contact information: Name, email, phone number
    • Enter information for other contact channels
  3. Click Save to complete editing.
